Play Fair, Game On: Guidelines for an Epic Lounge Experience

Ethlete Lab Academy is committed to creating a safe, inclusive, and engaging space where gamers of all levels can connect, play, and grow. Please review our lounge policies to ensure a positive experience for all participants.

 

CODE OF CONDUCT

 

We believe in fostering a community built on respect, collaboration, and fun. To keep Ethlete Lab Academy a welcoming environment, we ask everyone to follow these guidelines:

 

  • Respect Others: Kindness and mutual respect are essential. Bullying, harassment, or discrimination based on race, gender, religion, or background will not be tolerated.

  • Fair Play: Whether you’re competing in esports or enjoying casual play, good sportsmanship is a must. Play honestly, respect the rules, and encourage others.

  • Clean Language: Offensive, inappropriate, or profane language is not allowed. Let’s keep our lounge positive and family-friendly.

  • No Gambling: Gambling of any kind is strictly prohibited and will result in immediate removal and disciplinary action.

 

Failure to follow these guidelines may result in suspension or revocation of lounge access.

 

MEMBERSHIP AND CLASS POLICIES

 

At Ethlete Lab Academy, we’re committed to providing a seamless and enriching experience for all members. Please review the following policies to ensure a positive and organized experience for your family:

 

ELIGIBILITY

 

Ethlete Lab Academy welcomes kids ages 8 and older. Our programs are designed to cater to various age groups and skill levels, offering opportunities to learn, play, and grow in a safe and engaging environment.

 

MISSED CLASSES

If your child is unable to attend a scheduled class, you may bank the missed session for future use.

 

  • Make-Up Classes: Banked classes remain valid for six months and can only be redeemed while your child is actively enrolled.

  • Advance Notification: Please notify your ELA location before the start of the missed class to ensure it can be banked.

  • Expiration: Make-up classes cannot be redeemed once enrollment ends.

 

LATE POLICY

 

Punctuality ensures a smooth and enjoyable learning experience for all participants.

 

  • Arrival Time: Participants must arrive on time for their scheduled class.

  • Late Arrivals: Students arriving more than five minutes late will not be permitted to join the session.

  • Waitlist Procedure: If a class has a waitlist, late arrivals may forfeit their spot to a waitlisted participant.

 

This policy minimizes disruptions and helps maintain a focused and collaborative environment for all attendees.

 

CANCELLATIONS

 

To cancel a membership or class, please notify us by completing a Withdrawal Form at least 10 business days before your next billing cycle. This ensures no further charges are applied for the following month.

 

FREEZING ACCOUNTS

 

Taking a break? We offer the option to freeze memberships for vacations, illnesses, or other temporary reasons.

 

  • Membership Freeze: Submit a Membership Freeze Request Form at least 10 days before your next billing cycle.

  • Duration: Memberships can be frozen for 30–60 days, up to twice per year.

  • Fees: A $15 monthly hold fee applies, which is waived for medical or military freezes with proper documentation.

 

Freezing your membership allows you to pause without canceling, giving you the flexibility to resume when ready.

 

PARENTAL CONSENT

 

By enrolling your child in Ethlete Lab Academy’s memberships or classes, you agree to the following:

 

  • Behavior Expectations: Participants must adhere to facility rules and guidelines. Failure to do so may result in suspension or revocation of access without refund.

  • Supervision and Safety: While we maintain a safe and supportive environment, all activities carry inherent risks. Our staff is trained to ensure the safety of all participants.

  • Liability Waiver: You acknowledge and accept responsibility for ordinary risks associated with gaming and esports activities.

 

Participation includes gaming sessions, use of lounge equipment (e.g., gaming stations, VR devices), and structured classes or camps.

 

ANTI-BULLYING AND INCLUSIVITY

 

Ethlete Lab Academy is a space where everyone belongs. We’re committed to maintaining a positive, inclusive environment for all gamers.

 

  • Zero Tolerance for Bullying: Any form of bullying, harassment, or exclusion will result in immediate disciplinary action, including removal from the lounge or classes.

  • Inclusivity for All: We proudly serve participants of all backgrounds, genders, identities, and abilities. Everyone is welcome here.

  • Accessibility: If your child has specific needs or requires accommodations, please contact us in advance. We’ll do our best to ensure they can fully participate in our programs and activities.

REFUND AND EXCHANGE POLICY

 

We aim to provide a high-quality experience with every product or service. Below is our refund and exchange policy:

 

Merchandise Refunds:

  • Items must be returned within 10 days in their original condition: unused, unwashed, and with tags and packaging intact.

  • Final sale items, gift cards, and certain promotional items are not eligible for refunds or exchanges.

Pre-Sale Memberships:

  • Pre-sale memberships are non-refundable but can be exchanged for other services, such as classes or camps.

Exchanges:

  • Eligible merchandise can be exchanged based on availability. Contact customer service for assistance.

 

Refunds for merchandise will be processed to the original payment method once items are inspected. Shipping fees are non-refundable unless the return is due to our error.

 

SAFETY OVERVIEW

 

Your safety and peace of mind are our top priorities. Here’s how we ensure everyone can game with confidence:

 

  • Trained Staff: All staff members are certified in First Aid, CPR, and emergency protocols, ensuring quick and effective responses to any situation.

  • Emergency Equipment: Our facility is equipped with AEDs, first aid kits, and other essential safety tools. Supplies are regularly inspected to ensure readiness.

  • Emergency Contact Forms: Parents are required to provide emergency contact details during registration. This includes medical conditions, allergies, and medications to ensure proper care if needed.

  • Facility Safety: Our lounge is regularly maintained to meet safety standards, and emergency procedures are posted throughout the facility.
